The Takeoff to Quote tool is a powerful feature designed to streamline the process of sending out supplier quotes and subcontractor quotes. This guide will walk you through how to effectively use this tool, ensuring that your project estimates are accurate and up-to-date with supplier pricing.

  • Apply Assemblies: Start by applying assemblies from your templates. These are essential for generating accurate quotes.

  • Review the Estimate Report: Use the Reports tab to access the Estimate report, where you can verify that your assemblies are correctly applied.

  • Send Takeoff to Quote: Select the Takeoff to Quote option and follow the steps to send the material quantities to your suppliers for pricing.

  • Consolidated Material Quantities: The tool consolidates quantities based on part numbers, making it easier for suppliers to provide accurate pricing.

  • Review Supplier Quotes: Once the supplier submits the quote, you can review it, approve it, and update your project pricing in batch.

Step-by-Step Instructions:

  1. Applying Assemblies:

    • Before using the Takeoff to Quote tool, ensure that you've applied the necessary assemblies to your project. Assemblies are groups of parts that are key to generating accurate estimates.

  2. Reviewing the Estimate:

    • Go to the Reports tab and select Estimate.

    • Open your assemblies within the Estimate report to verify that they are made up of parts. Parts are crucial for sending out accurate quotes.

  3. Sending the Takeoff to Quote:

    • Select the Takeoff to Quote option.

    • Choose Send via Email to send the quote request to your supplier.

    • Select the assemblies you want to include in the quote.

    • (Optional) Attach a PDF copy of your plans for the supplier’s reference.

    • Click Preview to review the quote before sending it out.

  4. Consolidating Material Quantities:

    • The tool automatically consolidates material quantities based on the part numbers of your assemblies, making it simpler for your supplier to provide pricing.

  5. Reviewing and Approving Supplier Quotes:

    • After the supplier submits their quote, you’ll receive a notification.

    • Navigate to Quote Requests under the bell icon to review the quote.

    • Approve the quote and optionally send an award message to the supplier.

    • Update your project pricing by selecting the Update Project Pricing button. This will automatically update all relevant parts and assemblies with the new pricing.

  6. Finalizing the Estimate:

    • Refresh your browser and go back to the Estimate report to see the updated prices applied to your project.

  • What if I need to resend the quote to another supplier?

    • Simply follow the same steps to generate a new Takeoff to Quote and send it to a different supplier.

  • Can I separate parts by category in the quote?

    • Yes, there’s an option to separate parts by category, but it’s optional and can be skipped if not needed.

  • How do I know if the supplier has received the quote?

    • The supplier will receive an email from Squared Takeoff with your company’s name. You can track their response within the Quote Requests section.
